What is Avenevv?

Avenevv is a software-driven marketplace that provides a one-stop solution for event planners to discover unique event venues and manage venue bookings end-to-end. Beyond providing venue listing, our Quotation System is the first of its kind that could enable event planners to easily compare quotes, manage invoice, receipt, track payment and even handle negative cases such as cancellation and refund, regardless of the size, operations or payment policies of venues.

We aim to drive innovations and uncover possibilities with great minds and ideas to revolutionise the event industry, starting with how venues are being discovered and book. We provide an Event Planner Suite that enables you to automate and manage booking processes at the tip of your fingers, so that you can let technology handle the paperwork and focus on what truly matters, in elevating the event experience, to your attendees.

Who are the people behind Avenevv?

Our core team consists of 9 members from different backgrounds and fields of expertise but united on a common passion for events and drive to revolutionise how events are being planned and executed, starting with venues. Having worked with one another for close to 7 years on events and various projects, we have cumulatively over 40 years of experience in event planning and management. We also receive guidance and support from our senior advisor, who has close to 30 years in the MICE (Meetings, Incentives, Conferences and Exhibitions) industry. We understand the painpoints event planners are facing while planning events and booking venues, and commit to make that journey a more pleasant experience for you!

Why should I use Avenevv?

Booking an event venue could be a stressful process which involves negotiating and liaising back and forth with many venues on pricing, availability, food menu, facilities and so on. With Avenevv, not only can you search for event spaces based on your criteria, but you can also shortlist these venues to compare, mass request for quote, physical visit and directly check with venue managers to customise your events seamlessly. You can also export our space and quote comparison tables to share with your colleagues or managers, making venue booking process more transparent and saving you a whole lot of time in communicating with your team!

What can I expect when using Avenevv?

Usually, you could expect to hear back from our venue managers within 1-3 working days after requesting for quotes / physical visits. You will receive notifications to your inbox that our venue partners have got back to you on the quotes/physical visit timing and the series of actions you can follow-up: accept, reject, decline and so on. If the venues decide to clarify further on your event requirements via our in-app messaging, you would also receive email notification to keep you posted.

Why should I book event venue online?

The seemingly minute mundane tasks along the event planner consumer journey – providing event details to each vendor, calling to check if there is lift access, comparing venue payment policies and offerings on an excel sheet, negotiating for a lower price etc - are unfortunately currently perceived as a norm. When we realistically break down the thousands of things that an event planner actually does, such manual tasks do take up a good large amount of time and effort. Instead of focusing on developing great content for the event, event planners are now doing jobs that could be automated perfectly with the advent of technology. As such, we believe that it is time that we start having a convenient solution to ensure that we could focus on what matters most, and processes like venue booking should be online.

Everyone can use Avenevv to book a venue! Whether you are a professional event planners, a Marketing or HR personnel, or a student planning for social night, our platform could be just the right solution for you! Our venue partners pay us a marketing fee as we help connect event planners with venues on our platform. This helps us to keep running the platform for free for everyone!

How can I search for a space?

Arriving on Avenevv Home page, simply click "Discover Event Spaces" at the very beginning to be directed to a list of event types for us to help you narrow down your search. After selecting an event type, you will get directed to a search results page based on your choice. Here you may find a wide range of search criteria to help you further filter out the most relevant spaces for your needs. Upon applying any filter, click "Search" on the right hand side to apply this condition on your search results.

How can I find a space within certain price range?

We include a search filter called Budget to help you narrow down your search to venues that are within the price range closest to your budget.

How can I find a space that is near to my home/office?

You can search them by location. We include a filter called Location under More Filters to help you narrow down your search to find venues based on where they are located.

How can I find a space for certain event type?

When you first click "Discover Event Spaces" on our Home Page, you will be directed to choose the event type of your event. Alternatively, you can use the Event Type filter on the top left of the search result page to find a suitable space.

How can I find a space that is available during my event time?

You can search a space by their availability. We include a search filter called Booking Date for you to narrow down your search to spaces that are available on your Booking Date. However, do note that this may not be real-time as this depends on whether or not the venue managers update their availability regularly.

How can I find a space that can accommodate all my guests?

You can search a space by their capacity range. By choosing the filter Required Capacity, you can narrow down your search by picking a range of the number of attendees whom would be present at your event.

How can I find a space that have certain amenities?

You can search them by the features that they have. We include a filter called Features under More Filters to help you narrow down your search to find venues based on certain amenities or facilities they may have.

How can I find a space that allow certain layouts needed for my event?

You can search a space by the layout they allow. By choosing the filter Required Capacity, you can narrow down your search by picking a layout you intend to have for your events. You may select many layouts and refer to the icons of how they look like.

How can I find a space that I know?

You can search a space by its name. By choosing Venue / Space Name, you are able to check out a venue or space that you knew before!

What is the order that the spaces listed are shown on search result page?

By default the spaces under search result are sorted based on Lowest price per hour. You may also choose to sort the results by alphabetical order.

How can I compare different spaces?

There are 2 main ways to compare spaces. You may add a space to MyList and compare the added spaces within MyList, or click the "Compare Spaces" button on the side of the search result page.

What is the Venue Estimation Tool?

The Venue Estimation Tool was designed to help you instantly check for a space's availability and estimated venue cost before proceeding to request for quote. Do note that the estimated price is only for the venue cost, which excludes other add-ons, F&B services and other charged items at the venue.

What is a space's Flexibility?

Flexibility refers to the "house rules" and policies of the venue, as well as how accommodating they are to the different requests by event planners in terms of layout, capacity and availability.

How do I book an event?

After identifying a space that suits your needs, you can add this space into MyList for various mass-actions: Compare, Request for Quote, Request for Physical Visit and Enquire.

If you wish you book a particular space on this list, you would need to first, request for quote from the space, receive the accurate pricing and accept this quote before a booking is confirmed (as for why you need to request for quote, check out our blog post here).

What is MyList?

MyList is like your shopping cart. This is your very own list of the spaces that have caught your eyes and you are willing to move forward with them, or you just want to have a place to register your favourite spaces when you come back to Avenevv again next time. Beyond a place for you to keep track of your favourite spaces, MyList enables you to perform various actions among spaces that have been selected: compare, mass Request for Quote, mass Request for Physical Visit and even mass Enquire.

What is Request for Quote (RFQ)?

Request for Quote is the action of sharing your event details with the venue managers so that they can get back to you on the accurate pricing of the booking. This is a standard practice in the event industry, given that no event is similar to each other, and that a venue is beyond an item that could be checked out instantly, but a crucial aspect of your event that may also affect event theme, content, logistics and many other considerations. What is Request for Physical Visit (RFPV)?

Physical Visit is an important stage in the consideration step before choosing an event space. Request for Physical Visit is action of sharing your event details and available timings with the venue manager(s) to come down and visit the space physically. On Avenevv, we also assist you in (mass) scheduling physical visits with our venue partners to minimise steps needed to reach a mutually agreed timing, as well as providing you with more information about them before visiting.

For overseas event planners who are unable to make a physical visit trip down to the venue, we also facilitate you in visualising the spaces and event possibilities with video snap shot, photo gallery, 360 photos and even past event media assets!

What can I expect when choosing Enquire?

You can chat directly with our venue managers on any questions you may have via our in-app messaging function. You will also receive an email notification that the venue manager has replied to you when you are not online on Avenevv as well! On Avenevv, we also offer Mass Enquire function so that you can ask all venue managers whose spaces are in your MyList the same question, without repeating yourself too many times.

Do I book a venue through Avenevv or directly with the venue manager?

Avenevv does not book the space for you. You will get in touch directly with the venue managers while managing your booking on Avenevv. We offer many means of interaction to facilitate the workflow and booking process between you and the venue managers such as the quotation system or in-app messaging function.

Can I submit more than 1 request?

Yes you can. We understand it is difficult to decide on and request for quote from a venue at such an early stage in your decision making process. In fact, we make it even easier for you to do so by introducing our Mass Request for Quote function. You can send multiple requests to different venues of choice in 1 click.

How far in advance do I have to book the space?

There is no restriction on how far ahead you should book your space. You can book a space as long as they are available and is able to respond to your request in time for your event. However, if you are in doubt and need a more timely response, just enquire the space directly on Avenevv on their space profile.

How do I know if a space is available for my event?

There are three ways to check availability.
1. If you are at the beginning of your search, you can select a date and and enter your guest count and budget to filter through our list of venues.
2. If you have gone to a venue page through another way, you can see the availability of each space under the Flexibility Tab.
3. Finally, you could also key in your event details into the Venue Cost Estimation Tool and check for their price range and availability immediately.

What happens after I submit my request?

The venue managers will review your request and determine if they are able to host your event. They could reply with a proposal / quote or in-app message you for more information. You will be notified upon receiving quotes from the venue managers and can compare different options before moving forward with one that meets your requirements. If they reject your request, you will also be notified right away with a reason why.

When can I expect to hear from a venue manager?

We encourage our venue managers to get back to you as soon as possible, but typically it will take approximately 3 working days. You can view the specific venue manager's average response time in their space profile to estimate when you would receive their reply. You will always be notified right away if a venue responds or rejects an event request.

Why haven’t I received a quote from a space?

Different spaces have different response time, which you can check from their space profile. If it has been too long since you have sent out the request, we would encourage you to revisit out site and reach out to another great space!

What are my options once I have received a quote from the venue manager?

Upon receiving the quote, you are able to
1. accept, decline to negotiate, or reject the quote; or
2. cancel, or edit request or event; or
3. in-app message the venue managers directly for further clarifications.

What should I do if I never hear from a venue manager?

If you do not receive any reply from our venue manager, ping the venue manager or Alex via in-app messaging for further assistance.

Can I modify the event request after I have accepted the quote?

You are able to request for changes after accepting a venue's quote by discussing with the respective venue manager via in-app messaging system. These changes must be agreed by both you and the venue managers.

The venue manager will be able to make changes on their end and share with you an updated quote based on the agreed changes. After 7 days, if you do not reject the changes, it will be deemed that you have accepted the new changes and the new quote will take effect.

How do I know when my booking is confirmed?

Your booking is confirmed once you have accepted the venue's quote. Your request would be moved into the Deal Tab, with the status "Pending Deposit". From which, you can pay the reservation deposit following the dates stated in the quote via Avenevv.

Can I order food/beverage at my event that is not included in the package?

Yes, you are able to pre-order food and drinks especially if the quantity expected is large. You can request for a Change in Booking to the Venue Manager via in-app message.

Alternatively, you may order it from the space on the day itself. Based on the policies of different venues, they may ask you to pay on-the-spot, or after the event directly to them or via Avenevv.

What if I need to make changes to my booking after it has been accepted (eg. adding another guest or an additional 1 hour)?

You could request for changes after accepting the quote by informing our venue via in-app messaging system. The venue manager will be able to make changes on their end and share with you an updated quote based on the agreed changes. After 7 days, if you do not reject the changes, it will be deemed that you have accepted the new changes and the new quote will take effect.

What if I need help booking my event?

If you are unable to find your venue of choice, reach out to Alex via in-app messaging and we are happy to assist you!

What if there is a venue I would like to book via your platform but it is not listed?

We are always on the look for new and exciting venues that best meet your needs! Share with Alex your recommendation via in-app messaging and we are more than happy to explore potential collaboration with the venues that are yet to be on our radar!
